In three years chatbots went from toys to work tools: a well-built assistant answers on YOUR data — price lists, orders, availability — and hands over to a person when needed. Prices vary by an order of magnitude though, and almost never because of AI quality: they vary with what the bot must know and which systems it must connect to.

Beyond answering: it opens tickets, enters orders, updates records — with human confirmation on critical steps. Requires serious design of permissions and controls.

On top of development, budget the AI model usage: from tens to a few hundred euros per month depending on volumes. If it is not in the quote, it was forgotten.

What actually moves the quote

  • Knowledge sources: ten tidy PDFs cost little; a closed ERP and three scattered archives cost a lot.
  • Integrations: every system queried in real time (ERP, CRM, e-commerce) adds days of work.
  • Channels: website only, or WhatsApp, email and phone too? Each channel is an extra piece.
  • The human handover: a good bot knows when to stop. Designing the handover well is worth more than any AI refinement.

The most expensive mistakes

  • Starting from the bot instead of the problem: first pick the process that burns the most hours, then build.
  • Wanting everything at once: the right project starts small and measurable — one channel, one topic — and grows with results.
  • Ignoring the data: if correct answers exist nowhere in writing, no AI will invent them. Sometimes the first job is tidying company knowledge.
  • No monitoring: a bot without conversation review degrades silently. The "afterwards" belongs in the quote.
